Job Description Responsibilities: Assist the Leadership team in coordinating the daily activities and tasks related to project execution such as making travel accommodations, coordinating rental equipment, etc. Both independently or from instructions; drafts, prepares, and edits a wide variety of materials such as correspondence, reports, surveys, forms, charts, and other documents. Initiates and answers telephone calls, screens, and directs calls and visitors to appropriate personnel. Organizes and maintains filing and record keeping systems; maintains a variety of files, and records including those of a sensitive and confidential nature. Schedules meetings and appointments for a multitude of team members; prepares agenda items for meetings; maintains records, attends meetings, and prepares minutes for distribution to appropriate personnel. Responsible for all renewals regarding business licenses, certifications, etc. Responsible for preparing and submitting pre-bid qualification applications. Perform administrative projects for executive and/or management personnel by researching and compiling background data, maintaining records, filing, and department administrative duties Assisting in editing, proofing, and submission of proposals and contracts at the direction of Leadership team. Assist in managing monitored accounts by processing client inquiries, scheduling inspection and testing visits, and preparing and submitting all necessary documentation. Work through various construction management and accounting software---s to maintain records, execute proposals, and generate reports. Qualifications & Requirements: A minimum of (2) years related work experience. Must possess a High School Diploma or GED. Strong knowledge of MS Word, MS Excel (pivot table, charts, etc.), MS Outlook, and Adobe Acrobat. Communication skills and ability to work effectively under pressure. Ability to handle sensitive material with confidentiality. Self-motivated, critical thinker, with a strong desire to innovate and grow. Punctual and reliable attendance record. Strong organizational skills, including the ability to initiate, manage, and complete multiple projects with pressing deadlines simultaneously and with accuracy. Experience with Procore and QuickBooks while preferred, is not required.
