JOB DESCRIPTION
Summary/ObjectiveThe Director of Clinic Operations (DCO) will ensure the efficient delivery of daily clinical operations and services. The DCO will be primarily responsible for overseeing the operational efficiency and the quality of the services provided in all of BACHC sites, specifically the Front Registration Department, Clinic Support Staff, Referrals, Medical Records, and Client Services. The successful candidate will provide direct supervision for the mangers/supervisors of said departments. The DCO will be a hands-on manager and lead by example and motivate staff to deliver measurable, accountable, and cost-effective results. They will lead efforts to improve quality outcomes and clinic operations that will improve the overall experience for both employees and patients. These efforts will focus on key systems that are vital to the operation of both the Front Registration Departments and Clinic, such as scheduling, management of clinic flow, referral tracking and panel management. The DCO will also play a key role in maintaining the Patient Centered Medical Home (PCMH) status of the facility.
Essential Functions1. Performs all job functions in a professional and courteous manner. This includes answering all general phone call timely. Provide excellent customer service to internal and external clients/patients by being responsive to all inquiries in a timely manner.2. Performs job duties collaboratively with health center management and exercises good judgement.3. Fosters and promotes a culture of service excellence and accountability.4. Consistently adheres to a high standard of professional ethics; conducts self in an ethical manner and is a role model to others.5. Complies with organizational policies and procedures.6. Provide day-to-day leadership and oversee the management of the front registration, back office, referrals, medical records, and client services in accordance with the mission and core values of BACHC. 7. Direct, plan, organize, supervise, and coordinate the services of the front registration, back office, referrals, medical records, and client services work areas: including but not limited to: patient registration, patient check out, referral management, patient scheduling. 8. Work with clinic management to optimize staffing, appointment schedules, and workflows as needed in order to meet productivity requirements. 9. Provide direct supervision to the managers/supervisors for the front registration, back office, referrals, medical records, and client services. 10. Completes subordinates' performance evaluations in a timely manner. 11. Ensures the timely completion of the performance evaluations for the departments under their supervision. 12. Ensure that all staff involved are up to date with their compliance training. 13. Develop and conduct training for staff as needed. 14. Provide for all staff a strong day to day leadership presence and have an open door policy for mangers as well as their staff.15. Participate and provide leadership according to PCMH status and ensure effective implementation and maintenance of policies and procedures across the organization. 16. Facilitate the support process improvement initiatives that will enhance the PCMH status. Maintain effective process flows based on a team approach.17. Identify growth opportunities and priorities. 18. Manage the productivity of the clinic according to HRSA standards. 19. Develops and establishes operating policies based consistent with the CEO's overall policies and ensures their execution. Appraises and evaluates the results of overall operations and reports to the CEO. 20. Collaborate with the management team to develop and implement plans for the operational infrastructure of systems, processes, and personnel designed to accommodate the rapid growth objectives of the organization. 21. Ensure communication of goals, objectives, policies, and procedures both up and down the chain of command through meetings, huddles, and other forms of communication. 22. Serve as the site manager at assigned location when needed. Monitor and ensure clinical and operational performance standards are maintained. 23. Create, analyze and present data ad reports as relevant to clinical operations. 24. Ensure compliance with BACHC policies that impact clinic operations, including audit participation and implementation of Corrective Action Plans. 25. Participate in the formulation of front registration and clinical objectives, policies and procedures. 26. Evaluate processes and systems in accordance with BACHC policies and procedures. 27. Other duties as assigned. Supervisory ResponsibilityThis position has supervisory responsibility for the front registration manager, clinic process and quality manager, Referrals and medical records supervisor, and client services manager. Required Education and Experience

  • A valid RN license in the state of California required.
  • Bachelor of Science in Nursing (BSN) strongly preferred.
  • 3-5 years' experience in a director capacity, preferrable in a healthcare setting.
  • Minimum three years FQHC experience.
  • Working knowledge of federal and state regulations that have an impact on clinic operations, including but not limited to HIPAA, HRSA, etc.
  • Evidence of the ability to consistently make good decision through a combination of analysis, wisdom, experience, and judgment.
  • Ability to multi-task and prioritize workload in a fast-paced environment. Required Skills
  • Ability to use MS Office Programs, including MS Word, Excel, Outlook, and PowerPoint.
  • Ability to accurately and efficiently utilization of the BACHC EMR. Experience using EPIC a plus.
  • Ability to use and analyze data for problem solving and decision making.
  • Ability to embrace and manage diversity and use them as to build and maintain a successful team.
  • Effectively interact with individuals and develop positive relationships while being tactful, respectful, and direct in communication.
  • Excellent verbal and written communication skills.
  • Ability to work flexible and extended hours and travel between sites as needed. TravelTravel is primarily local during business days for meetings, trainings or conferences, although some out-of-the-area and overnight travel may be expected.
